Transparency Notices

Transparency Notices help compliance teams track EU AI Act disclosure obligations for AI products. Use them when a product interacts with users as an AI system, generates content, performs emotion recognition, performs biometric categorization, or creates deepfake or synthetic media that needs disclosure.

Where To Work

Use two shipped surfaces together:

  • Product Detail > Transparency records the notice decisions for one AI product.
  • Transparency Dashboard shows the space-level status across AI products.

The Product Detail Transparency tab is available for AI-labeled product types in the catalog. The dashboard currently summarizes backend AI product types ml_model, llm_agent, and agent.

Notice Types

Each product can track these notice types:

Notice typeUse it for
AI interactionUsers need to know they are interacting with an AI system.
Generated contentContent generated or materially modified by AI needs labeling or disclosure.
Emotion recognitionUsers or reviewers need disclosure for emotion-recognition use.
Biometric categorizationUsers or reviewers need disclosure for biometric categorization.
DeepfakeSynthetic or manipulated image, audio, or video content needs disclosure.

Statuses

Set each notice to one of:

StatusMeaning
ImplementedThe disclosure exists and can be evidenced.
PlannedThe obligation applies, but implementation is not complete.
Not applicableThe obligation does not apply to this product.

Missing notice rows are treated as not configured until a user saves the product's notice set.

Product Workflow

  1. Open the AI product in the catalog.
  2. Open the Transparency tab.
  3. Review each notice type and decide whether it applies.
  4. Set implemented notices to Implemented.
  5. Add the URL where the notice or supporting disclosure can be reviewed.
  6. Add notes that explain the implementation, exception, or planned remediation.
  7. Use View template when a transparency notice template is available for the notice type.
  8. Save the full notice set.

Saving replaces the full transparency notice set for the product and records an audit event with before and after notice snapshots.

Templates

The Transparency tab can load content templates from the space's Content Templates library using category transparency_notice. Templates are matched by notice type and locale when available.

Use templates as drafting aids for public disclosure text or internal implementation notes. The saved Transparency Notice record stores the status, URL, and notes; it does not store the copied template text separately.

Dashboard

Open Transparency Dashboard to triage disclosure gaps across the space. The dashboard shows:

Dashboard status is computed from applicable notices:

Not setNo applicable notices have been recorded. Products with only not-applicable notices also appear as not set.

Use the search box to find a product by name or type, and use the status filters to focus on compliant, incomplete, or not-set products.

Operating Practices

  • Record a URL whenever a disclosure exists in an application, product page, policy, model card, or user-facing notice.
  • Use notes to explain why a notice is not applicable.
  • Revisit notices after major product changes, new user interactions, or new generated-content capabilities.
  • Pair transparency review with risk register, conformity assessment, and prohibited-practices screening for AI products.

Troubleshooting

Progress is 100% but status is Not setNo notices are applicable. Mark applicable obligations as Implemented or Planned before saving.
Template is not availableConfirm a Content Template exists in the space with category transparency_notice and the expected notice-template slug.
Saved values disappearedSaving replaces the full notice set. Make sure the client sends every notice row that should remain.
